Job Summary:
The Purchasing Assistant, also known as a Drawing Specialist, supports the fabrication process by coordinating material procurement, inventory control, and shop documentation. The role works closely with shop personnel, vendors, accounting, estimating, and project managers to ensure materials, drawings, and cut lists are accurate and aligned with project schedules. Over time, the position develops deeper shop integration, material purchasing responsibility and problem solving to support efficient production and on-time delivery.
Essential Job Functions
1. Coordinates and expedites flow of material, parts, and assemblies between vendor and shop
2. Create Purchase Orders
3. Process Receiving and corresponding paperwork.
4. Reconcile invoices vs. PO’s with coding and turning into accounting for payment
5. Interact with vendors to ensure orders arrive correctly and by the requested date.
6. Reconciliation of Inventory
7. Maintain inventory records and job files.
8. Process and Check Detail Shop Drawings
9. Interact with Estimating, Project Managers, Shop, and others throughout the organization to provide service & problem resolution
Job Functions Nine Months – One Year
1. Utilize software to create digital cut-lists for the shop in a timely manner
2. Develop close relationships with the managers and supervisors in the shop.
3. Use those relationships to curate the cut lists and process drawings in an efficient manner for the shop.
4. Communicate effectively with project managers and detailers about drawings if issues arise.
5. Ability to RFQ/buy material with quick delivery requirements.
6. Possesses knowledge of stock material and supplements irregular sizes as needed.
7. Ability to organize the transfer of material between other SteelFab locations or sublets when timeline or labor requirements arise.
8. Shows ability and drive to help other members of the team with their tasks if their main task/responsibility (processing drawings) is not currently demanding.
Qualifications and Requirements
Required: Working towards or having a bachelor’s degree; or having an associate degree with a minimum of 2 – 3 years’ experience in Procurement. Motivated and career driven. Strong verbal, mathematics, and communication skills. Ability to be a team player with minimal supervision. Strong multi-tasker and must be detail oriented.
Preferred: Knowledge of procurement software and tools. In-depth knowledge of purchasing functions, inventory, and supply management systems.
