Organizational Function

The Project Coordinator is under the supervision of, and reports to, the Project Accountant. The primary responsibility of the Project Coordinator is to assist Project Managers with job-related administrative and accounting tasks.

Work Performed

  • Complete new job set up per the New Job Request form and set up job data sheet (Project Info Tool, Sage300, Procore, Project Drive, TimeStar, Job Data Sheet). 
  • Complete New Vendor setup in Sage300 & Procore
  • Create and issue subcontract and PO commitments per PM instructions.
  • Create and issue commitment COs per PM instructions.
  • Create PCO requests per PM instructions.
  • Procore ERP Integrations
  • Save and review GC contracts (Update in Sage300 & Procore, request COI & Exhibit L, extract billing documents and update billing matrix, enter financial markup, extract LEED documentation).
  • Request bid bonds or P&P Bonds as required by General Contractor
  • Issue job specific COIs to GCs.
  • Assist with annual COI update to GCs.
  • Acquire all invoices in TimberScan, verify vendor, amount, invoice number, and billing requirements, code and send to approver.
  • Request vendor lien waivers via Levelset.
  • Handle all AP inquiries.
  • Create RFIs per PM instructions.

Qualifications and Requirements

  • High School Diploma required, Associate degree preferred.
  • 5 years of construction experience preferred.
  • Ability to learn and use multiple software systems.
  • Strong organizational and multitasking skills
  • Attention to detail.
  • Must have flexibility to work overtime during periods of high volume.
